You need to email a signed form or keep a receipt, but you do not own a scanner. Your phone can often make a useful document scan with an app you already have.
A document scan usually crops and straightens the page. It is different from sending an unreviewed camera photo.
The quick answer
On iPhone, use Scan Documents in Notes or Files. On Android, Google Drive offers document scanning. Place the page in good light, check the crop, add the remaining pages, and save a PDF. Open that finished file before sharing.
Prepare the paper and the camera
Put the document flat on a contrasting surface. Use even light and avoid your own shadow. Clean a smudged camera lens gently and keep the phone steady above the page.
Remove unrelated papers from the frame. For a multipage form, arrange pages in order first. Check the recipient’s requirements: some organizations require a particular format, size, or original document.
Scan with an iPhone
In Notes, create or open a note, tap the attachment control, and choose Scan Documents. Position the page for automatic capture, or use the shutter control. Adjust the corners if needed, keep the scan, and add more pages before finishing.
Files offers another route: open its More menu, choose Scan Documents, capture the pages, then choose a destination and save. Button labels vary by iOS version.
Use the document’s sharing controls to send or save the scan itself. Check the exported attachment so you do not accidentally send a link to a note instead of the file the recipient needs.
Scan with Google Drive on Android
Open Drive and use the camera scanning control. Capture the page, then inspect the crop and rotation. Use the add-page control for another sheet and retake an unreadable page.
Finish the scan, choose a recognizable name, select PDF when you need a document file, and confirm the Drive folder before saving. Drive can also offer JPG; pick deliberately rather than assuming the default.
Review every page
- Can you read small print when you zoom in?
- Are all four edges present?
- Are signatures, dates, and reference numbers visible?
- Are pages upright and in the right order?
- Did a shadow hide any writing?
A filter may improve contrast but can also remove faint handwriting. Compare with the original. Retake the page if you cannot confidently read it.
Save and send with care
Use a name such as “completed-form-2026-10-03.pdf.” Reopen the file from its saved location to confirm it exists and includes every page. Keep the paper until you know the scan is accepted.
Consider what account stores the file, especially for identification or personal records. Use the intended recipient’s approved upload channel when provided. For a shared link, review access settings instead of enabling access for everyone by habit.
